INTERNET - Email - Protocol
In order for e-mail communication to be effective, everyone must participate in their appropriate use. These guidelines are provided for you to follow in order that we may make the best possible use of this communication system. These guidelines cover requirements for proper use as well as necessary file management procedures to ensure the smooth running of the system.
Users must be aware that email is NOT SECURE.
Etiquette :
Use appropriate and courteous language in messages.
Messages (including those of an informal nature) must not contain offensive language.
Keep messages brief and to the point with separate messages for different subjects.
Do not type the message entirely in upper case as it is difficult to read.
Break messages into logical paragraphs and keep sentences short.
Keep messages 'conversation-size' where possible.
When replying to a message, use the original message to carry the response or provide adequate information to put the reply in the context of the original message.
General Procedures :
Where possible check daily for any e-mail messages received (recommended three times per day).
Do not expect e-mail messages to be received immediately. Allow approximately 15 minutes for transmission itself and, of course, receipt is dependent on the availability of the recipient to access their mail.
Send e-mail, to the appropriate individual or group instead of broadcasting to all users.
Housekeeping :
Delete unwanted messages immediately as they take up disk storage space.
Save messages and attachments you wish to keep in electronic format or hard copy.
Keep messages remaining in your electronic mailbox to a minimum.
Empty the "trash" and compress the mail folders to minimise disk usage and improve your email system.
